Knowledge Management - Principles, Tools,            Components and Architecture

  Knowledge

 • Knowledge can be gained and accumulated as "information combined with experience context, interpretation, reflection and is highly contextual".

• It is a high-value from of information that is ready for application to decision and actions within organizations.

 • Knowledge is increasingly being viewed as a commodity or an intellectual asset. It possesses. Some contradictory. Characteristics that are radically different from those of other valuable commodities. In this rapid changing environment the ability to manage knowledge is becoming more crucial in today's knowledge economy".

 • The power of knowledge is increasingly documented as the new strategic tool in the growing organizations. The common pupil trends to hold knowledge towards their organizations knowledge as an asset to their service.

 • Today knowledge is considered as a great source to an organization. The creation and diffusion of knowledge have become ever more important factors in competitiveness. Knowledge two types. Tacit knowledge and explicit knowledge.

  Knowledge Management

 • Knowledge management is that the firms manage know-how their employees have about its products, services, organizational systems and intellectual property. Specifically, knowledge management  embodies the strategies and processes that a firm employs to identity. Capture and leverage to knowledge contained within its corporate memory.

 • Knowledge management is appropriate towards the basic activity of planning and implementing out taks in a systematic and efficient manmer.

 • Knowledge management is well documented that organizations with efficient communication linkage have higher "information flow, knowledge sharing, cooperation, problem - solving, creating, efficiency and productivity.

 • Companies built on such well develop networks to "produce measurable business results, such as faster learning, quicker response to client needs, better problem - solving, less rework and duplication. They enjoy higher sales, more profits and superior market value".

  Knowledge management Principle

What do we mean by KM principles? Well a dictionary definition of a principle is a fundamental truth or law as a basis of reasoning or action.

Further more, principle have, at least four distinct characteristics.

 • They are timeless. They will be just as relevant in 50 years time as they are now.

 • They are changeless. Whereas knowledge will change over time, principles do not change ever.

 • They are universal. That is to say, they can be applied anywhere. • They are scale able. That is the same principles can apply to individuals, teams  organizations, inter-organizations, and even globally.

So one can say that principles, are "the heart of the matter", the fundamental source. In the context of knowledge management  over many years, our KM consultants are continually striving to uncover these principles and apply them, at the personal, team, organization, inter - organization and global level.

We are dedicated to principle contred knowledge leadership.

 • Our mission is to turn these KM priciples into daily knowledge working reality. But how can you do that?

 • The answer is to embed them in practical KM strategies, processes, methods, systems, tools, technologies and techniques. This will bring about a natural knowledge based, and knowledge driven culture and capability across the organization.

 • Knowledge  management principles need to be embedded in the organization and embodied in the people.

 • Are you, your team, your organization, your professional community are knowledge principle driven?

 • But, to get started, providing you with a simple list of principles is not that effective. Although the principales may be profound, they need to be applied in a meaningful,  balanced and holistic way.

 • This is why we need a holistic KM framework to act as a roadmap for the implementation of KM principles.

 • The KM framework, we use in all our KM consulting engagements. There are two levels. The KM infrastructure to be built around the knowledge asset, and the knowledge networking dimensions.

 • For each of these elements in the KM framework, we list below the corresponding KM principles.

 • Over time, we expect these KM principles to be further developed and refined, so it is a good idea to come back to this section from time to time.

  Steps of Knowledge Management

According to Asian productivity organization (APO), five step KM process in concerned with five key steps.

 i. Identifying the need to manage knowledge.

 ii. Creating knowledge.

 iii. Storing knowledge.

 iv. Sharing knowledge.

 v. Applying knowledge.

  Knowledge Management Methods and Tools

  Brainstorming :

Brainstorming is a simple way of helping a group of people to generate new and unusual ideas. The process is actually split into two phrases : divergence and convergence. During the divergent phase, everyone agrees to delay their judgment. In other words, all ideas will be treated as valid. During the convergent phrase, the participants use their judgment but do so in a "positive manner - that is, they look for what they like about the ideas before finding laws.

  Learning and Idea Capture :

A key aspect of knowledge management, at the personal and team levels, is to more "collectively and systematically" capture the learning and ideas that are taking place. Learning and idea capture is a guide or how to do this. Many organizations, would like to he more creative, generate more ideas, learn faster, and turn their new learning into better knowledge to share, apply and exploit. However, if you observe individuals and teams in most organization, you will readily see that they are continually coming up with new learning and new ideas much of the time, especially in team conversation. and collaborative work.

   Peer Assist :

It is a technique used by a project team to solicit assistance from peers and subject matter experts regarding a significant issue the team is facing. Peer assists are part of a process of what british petroleum calls "learning before doing". i.e. gathering knowledge before embarking on a project  or piece of work.

 Learning Reviews :

It is a technique used by a project team to aid leam and individal learning during the work process. It can be conducted after any identifiable event. An event can be either an entire small action or a discrete part of a larger action e.g. a project planning meeting.

  After Action Review :

After action review is a technique to evaluate and capture lessons learmed upon completion of a project. It allows project team mumbers to discover for themselves what happened, why it happend and how to sustain strengths and improve on weaknesses. Storytelling : Readers may wonder why storytelling is categorized as ons of knowledge  management tools / techniques. Storytelling itself can data back to the origin of our social life, it is not just for KM, indeed. Storytelling is conveying of events in words, images and sounds often by improvisation or embellishment. Stories or narratives have been shared in every culture and in every land as a means of entertainment, education, preservation of culture, and in onder, tonsil moral values. In the context of KM, since its inceptions storytelling has been used as a powerful way to share and transfer knowledge, especially experiential and tacit knowledge.

   Collaborative Physical Workspace :

Physical workspace, in this context, literally means the settings in which we actually work - or simply the physical aspects of our office. When we share or create knowledge, we usually interact with other people through face-to-face communication- we discuss, dialogue, or simply just ask a question.

  Knowledge Cafe :

A knowledge cafe is a way to have a group discussion, to reflect and to develop and shareany thoughts and insights that, will emerge, in a very non - confrontational way. A knowledge cafe suspends all judgement and normally leads to developing deeper insights and sharing than usual. Running a knowledge cafe requires a process to make it work effectively.

IT/ web 2.0 based Methods and Tools :

Web 2.0 is the method by which data and services previously locked into individud web page for reading by the human beings can be liberated and then reused. It has lead to the information and knowledge explosion to the globe. Web 2.0 is also often described as a group of people driven tools that allow collaboriation. These include blogs, tags, wikis etc.

 Artificial Neural Networks :

Artificial Neural Networks are tools derived from artificial intelligence. They are also part of the new information processing paradigm that simulates the human brain. They are very strong tools in the patterns finding and structuring, without any prior information. They allow for the structuring of tacit knowledge, with out making it explicit, but nevertheless making it accessible ANNs are vehicles for creating best principles out of best practices.

Semantic Search Engines and Link Machines :

A semantic search engine uses a kind of an overlay of organization, based on keywords that are commonly used together. The search engines scan the text that is available and that is stored using a format that allows this kind of search. The search engine creates a semantic network of keywords, which allows translation of any given natural language query in a number of most probably related keywords. Then those keywords can be related to pieces of text where they appear dominantly. Once those keywords are identified the text is codified.

   Data mining :

An information extraction activity  whose goal is to discover hidden  facts contained in databases. using a combination of machine learning, statistical analysis, modelling techniquers, and database technology, data mining find patterns and subtle relationships in data and infers rules that allow the prediction of future results.
